Hi,
I have a MS365 PI account and would like to save a SharePoint Client Profile list we have created, into a PDF Report format file, for use by onsite Team Members doing inspection and testing work and for sending to clients in emails as required.
I would like to do this is the simplest and quickest way, either by checking an option in the list or by having a workflow automatically save an individual record after amendment, to save a new PDF file to a library location would be great.
I know I could :
- Print using a PDF creator, but I would like to be able to configure what is printed as not all fields are needed.
or
- export and link the list using a data connection to an excel file and then link to a Word doc for mail merge and then save as a PDF, but find this very painful method.
Suggestions please would be much appreciated.

reports-and-documents-generator which I am keen to explore. I see it was dated 2009 Is it still current? and what is the cost?
As per my original post I need to save the documents from SharePoint List data in to a Word or PDF to email as needed. Not Just Invoicing, but for:
- Expenditure approvals
- Inspection reports
- Summary reports
- Work orders to contractors
There are numerous time we need to send PDFs to email contacts.
I have also found this solution using Hare point work flow extensions
HarePointWorkflowExtensions/WorkflowInvoices
and can see that I should be able to create something similar in time to automate the file generation, saving and emailing. (However I think that the Harepoint fees for there workflow extension solution seems very expensive)

Again as per the other post – It seems I have I have a lot to learn, I am sure that there are many 3rd party solutions about if you are prepared to pay the $,
We are only a small business, so at this stage I really looking to learn and implement solutions using the inbuilt or OOTB functionality MS365 functionality and free available suggestions via the community, so that we can do as much of the full Customer Management cycle within the MS 365 environment without paying for costly add-ons.
